Shipment documents

Shipment document management with a required-document checklist

Every file lives on the shipment it belongs to. Tranvoro shows which required documents are still missing for that mode and direction, keeps each replaced version, and lets you choose exactly what your customer can download.

Missing documents

Know what is missing before the customer or the carrier asks

Your workspace holds document rules by transport mode and direction — for example, which documents an ocean import needs. Each shipment shows those rules as a checklist:

  • Missing required lists what has not been uploaded yet, with an Upload button on each row.
  • Mark N/A clears a requirement that does not apply to this particular shipment, instead of leaving it permanently red.
  • Status per document — present, approved, rejected with a reason, or expired — so a review is recorded rather than remembered.

Rules ship with sensible defaults and are editable in master data. Which documents a shipment really needs depends on the goods, the route and the parties; our freight forwarding document checklist explains the core and conditional ones.

Uploads, versions and generated documents

Upload to the file

PDF, JPEG, PNG and WebP files up to 25 MB, stored per workspace. Each document records its type, reference, issue and received dates, notes, who uploaded it and when.

Versions, not overwrites

Replacing a document creates a new version that points back to the one it replaced. The previous version is kept as history, and only the current one counts towards the checklist.

Generate from shipment data

Create shipping instructions, a house bill of lading, an arrival notice or a delivery order from the shipment itself. Required data such as shipper, consignee and ports is checked first, and saving is blocked until it is complete.

Tranvoro generate document dialog for shipping instructions, listing required data with shipper and consignee missing, and a preview of the document
Generating shipping instructions: the shipper and consignee are missing, so the document cannot be saved yet.

Customer sharing

Share the right files, and only those

Documents are internal until you share them. Marking a document as shared makes it downloadable by that customer's users in the customer portal — and only the current version of a shared document is ever offered.

  • Customers only reach documents on their own shipments; another customer's file is simply not found.
  • Portal downloads are recorded in the audit trail.
  • Customer users with upload rights can add documents to their shipments, and can replace only files their own company uploaded.
  • Portal users are unlimited on every plan and never count as paid users. See pricing.

Good to know

Limits worth knowing up front

Not a customs filing system

Tranvoro stores and tracks customs paperwork and customs status, but it does not submit declarations to customs authorities.

File types

Shipment documents accept PDF and common image formats. Office files such as Word or Excel need to be saved as PDF first.

What is generated, what is uploaded

Tranvoro generates your own shipping instructions, house bills of lading, arrival notices and delivery orders. Carrier master bills, supplier invoices and certificates are uploaded as received.

Frequently asked

Where do the required-document rules come from?

From your workspace's document rules, set per transport mode and direction. New workspaces start with a default set that you can change in master data.

What happens to the old file when I replace a document?

It is kept. The replacement becomes the current version and points back to the earlier one, so you can see what changed and when.

Can customers see every document on their shipment?

No. A customer only sees documents you have marked as shared, and only their current version.

Is document storage limited?

Each plan includes a storage allowance — 10 GB on Solo, 50 GB on Team, 250 GB on Business. Going over it shows a warning; it never blocks uploads or deletes files.
